A small free stack for a calmer freelance project

Connect a clear intake form, a simple project board and time tracking without creating another system to maintain.

What you’re working towards

One clear path from a client enquiry to an agreed next action and a visible delivery plan.

A small project does not need a complicated operations platform. It needs the right information, a clear owner for the next action and somewhere to record decisions. This suggested workflow keeps those jobs separate so the tools can stay simple.

01

Ask for information that changes the work

Use Tally to draft an intake form with the goal, audience, required deliverables, deadline and available reference material. Avoid asking for information that you will not use. Explain how the response will be used and where the client can ask a question. Test the form yourself before putting it on a website.

02

Turn the brief into a small board

Create a Trello board with a few stages such as To clarify, Ready, In progress and Awaiting feedback. Each card should describe a deliverable or decision rather than a vague topic. Add an owner and a next action. A card sitting still should make it obvious whether work, information or approval is missing.

03

Record decisions in one place

When a meeting changes the brief, update the relevant card and note the decision date. Keep the current deliverable easy to find. Avoid using a chat thread as the only record of scope or feedback. Check the plan’s attachment limits before treating the board as a storage archive for large design files.

04

Track time against useful categories

Use Toggl Track if you want to compare planned effort with actual work. Start with a handful of categories, such as design, revisions and project administration. Consistent names matter more than a detailed taxonomy. Review the pattern at a sensible interval and use it to improve the next estimate, not simply to collect hours.

05

Make meetings earn their place

Cal.com is an option for individual booking where a conversation is genuinely needed. Test availability and connected calendars before sharing a booking link. Put the purpose of the meeting in its description and finish with the next action. A routine update may be clearer as a short written note beside the deliverable.

A couple of useful questions

Should every client use the board?

Only if it helps them. You can maintain a private working board and send a concise agreed update instead of adding another login to the client’s day.

What should I track first?

Start with the next action and the current deliverable. Add more fields only when they answer a recurring question.
